A database is the most useful Information system tool.  It can help manage current data and help to predict future trends.

Key Points

  • Depending on paper and document files
    This is an inefficient method of storing data as each item is isolated and cross referencing is cumbersome.  There is often duplication of data as copies need to made for different purposes.  Document files are often incompatible with each other when attempting to merge information.  Often security of the data is impinged.
  • Building a database
    The database allows you to roganise all the information about your company, its suppliers and its customers and quickly cross reference this information to produce answers to questions such as "How many clients of Smith ordered over £300 worth of stock last month?"
     
  • Databases can be customised
    It is possible to have user-friendly forms which immediately update the database and allow other people who are not necessarily employed by your company (eg customers) access to input information whilst maintaining the security of existing data.
     
  • Easy reporting
    In this age of increasing technology, it is possible to take digital photo images and instantly download and store them on your database, allowing you to print up to date colour brochures at the touch of a button.
